"What Our Customers Say"
City of Mesa, Mesa Arizona - Government Agency "With the paper file system as it was we
had problems locating lost and misfiled documents. This was a never-ending
problem, because
often
we would discover that someone had pulled the document and buried it
on their desk and we would find it months later - or never find it. The
basis for making it so simple is
all of these documents are scanned into a PDF format. They all have readily
searchable OCR text sitting behind them, and from that stand point we
can do about anything we want with these documents. It is a very user-friendly
system that is extremely space and time saving - the employees and customers
appreciate it."
CUSTOMER BACKGROUND
A National Leading Aerospace Company
CHALLENGE
The company has support and repair centers all over the world that
overhaul,
repair and maintain their equipment. These facilities need access to
engineering and product support documentation such as technical
publications, service bulletins, and other engineering documentation.
The
company printed hundreds of sets of documentation and shipped these
documents all over the world. This resulted in huge printing and
shipping
costs. Additionally, it was difficult to ensure the latest revision of
the
document was being used, and difficult to control unauthorized copying
and
distribution of the documents. SOLUTION
ICM worked with the company on a several step approach to digitize the
Product Support Department. The first step was to scan the hardcopy
document
library into electronic format to improved control and management. The
second step was to assemble the documents on a set of CD-ROMs, and
deliver
the documents electronically on CD-ROMs. This approach significantly
reduced
printing and shipping costs, but still didn't ensure accurate revision
control once CD-ROMs were delivered. The last step is to load to
document
library on a secure web-based document management system, and equip the
field shops with air cards and wireless access to the documents. The
company
is in the pilot project stages of rolling-out this solution and with
its
success, plan to roll the solution out on a National level. BENEFITS
Wireless access to these documents addresses all requirements from
reduced
costs to improved productivity and enhanced revision control.
Additionally,
the company is looking at other digital content that can benefit from
wireless access including training material and document sets. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .

CUSTOMER BACKGROUND
A Large Governmental Agency
CHALLENGE
Typical of most Governmental Agencies, this department had an overload
of
paper documents. To add to this problem, they were informed that they
would
be going through reorganization. Five divisions (about 200 people)
were
moving into one building and they all needed to find a new place to
store
their paper filing systems. Therefore, there were major space
limitations,
going into cubicles left no space for filing cabinets. Realizing that
with
additional hands in the files, the already time consuming task of
finding a
file would take much longer, plus there would be a lot of file
duplications
within the five divisions. Every manager had gotten a copy of the same
letter and saved it in their files. "With the paper file system as it was we had problems locating lost and
misfiled documents, this was a never-ending problem,"..."Often we would
discover that someone had pulled the document and buried it on their
desk
and we would find it months later - or never find it." This Agency needed
an easy, reliable, and flexible solution to overcome its
1.4 million page paper document nightmares. They wanted a solution
that
would cut the time it took to retrieve and file documents, and yet be
flexible to any future change in technology.
SOLUTION
The solution for the filing system was surprisingly simple. They chose
ICM
Incorporated and their partner Hecktech.
